Event Coordinator II/III Job Description

GENERAL

As an Event Coordinator at Romeo Entertainment Group (REG), you will be responsible for supporting the Entertainment Producer/Talent Buyer assigned to specific events in overseeing tasks throughout the talent buying and event producing process. You will play a crucial role in ensuring that offers and contracts are processed correctly, artist avails are gathered and assessed accurately, and client information is maintained and updated in the REG database. Additionally, you will coordinate marketing plans, learn about event management, and assist with client relations.

KEY DUTIES & RESPONSIBILITIES

  • Assist Contracts Manager with facilitating contract procedures and client communications to obtain fully executed agreements
  • Prepare and process new and existing client service agreements
  • Assess the viability of agency avails by working with all appropriate agencies to gather and track accurate pricing, conflicts, and avails for clients
  • Update advance packets created by the Production Manager with year-over-year changes for an event (i.e. updated artist listing, show times, merch rates, venue and personnel changes, etc.)
  • Organize, compile, and interpret artist analytics reports for clients
  • Draft and input client offers into the REG database and share offers with the appropriate Talent Buyer/Event Producer for submission approval
  • Evaluate, process, and respond to artist deal point memos and send to clients for final review and approval
  • Maintain real-time, accurate client and artist information and data in the REG database
  • Maintain records, spreadsheets, and documents that support and enhance REG's operations and success
  • Send out confirmation notifications to clients
  • Gather approved marketing assets from artist’s agencies and work with client to construct a general marketing plan including announce, on-sale, and advertising dates
  • Update internal marketing tracker with up-to-date information
  • Assist clients with implementing contesting and/or giveaway to support ticket sales (i.e. social media contesting, radio station giveaways, etc.)
  • Facilitate artist conflict clearance requests
  • Collect and input client ticket counts and final gross amounts into the REG database
  • Represent REG at conventions and client events, overseeing artist and client relations
  • Provide service representation for events onsite as needed
  • Assist other team members when time allows
  • Perform special projects as assigned by your supervisor from time to time

SKILLS & QUALIFICATIONS

  • Bachelor's degree from an accredited university or college preferred
  • At least three years of professional experience working in the music industry
  • Ability to anticipate needs and execute time-sensitive matters in a fast-paced environment
  • Strong organizational and communication skills, both written and verbal
  • Attention to detail is a must
  • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint, as well as Adobe Acrobat
  • Experience with Asana is a plus but not required
  • Must be willing to travel
