Office Administrative Assistant

Position Overview:

The Office Administrative Assistant is responsible for supporting daily administrative operations at the regional office in Jefferson, Georgia. This position assists with document preparation, meeting coordination, internal communications, event logistics, and general office management. The role requires a high level of organization, attention to detail, strong communication skills, and proficiency in Microsoft Excel and PowerPoint. The position reports directly to the President of the AMS region and requires full-time, on-site presence.

Key Responsibilities:

  • Perform administrative tasks including document formatting, data entry, scanning, filing, and mail distribution
  • Create and update documents, reports, and presentations using Microsoft Word, Excel, and PowerPoint
  • Coordinate internal meetings and appointments, including scheduling, room setup, and material preparation
  • Plan and coordinate company-wide meetings, including scheduling, preparing agendas, managing logistics, and following up on action items to ensure effective communication and alignment across departments.
  • Support the planning and execution of on-site events such as team lunches, meetings, and training sessions
  • Maintain office supply inventory, process supply orders, and ensure shared areas are organized and stocked
  • Assist with internal communication activities such as posting announcements and maintaining bulletin boards
  • Provide onboarding support for new hires, including workspace setup and supplies
  • Provide occasional backup coverage for reception and phone calls as needed
  • Communicate professionally with internal team members and vendors
  • Perform additional administrative duties as assigned

Qualifications:

  • High school diploma or equivalent
  • Minimum of 2 years of experience in an administrative support or office assistant role
  • Proficient in Microsoft Office Suite, with working knowledge of Excel (basic formulas and tables) and PowerPoint (formatting and visual layout)
  • Strong verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Ability to prioritize tasks, follow instructions, and work independently
  • Regular, dependable on-site attendance required (Monday through Friday)
