Job Details

The Medical Administrative Assistant will play a critical role in the daily operations of a high-volume orthopedic surgical practice. This position requires excellent organizational skills, attention to detail, professionalism, and the ability to manage multiple responsibilities efficiently. The assistant will support the surgeon by coordinating surgical schedules, maintaining the calendar, verifying insurance, managing patient communication, and ensuring seamless coordination with surgical centers and patients.

Key Responsibilities:

1. Calendar & Schedule Management
  • Maintain and update the surgeon’s calendar including appointments, surgeries, consultations, and meetings.
  • Ensure there are no scheduling conflicts and optimize the surgeon’s time for clinic and OR duties.
  • Prepare daily, weekly, and monthly schedules with clear visibility into commitments.
2. Surgical Coordination
  • Schedule surgical procedures in collaboration with surgery centers, hospitals, and the surgeon’s preferences.
  • Obtain prior authorizations, confirm surgery bookings, and ensure surgical consents are signed and uploaded.
  • Coordinate pre-op and post-op appointments with patients and internal team.
3. Insurance Verification & Authorization
  • Verify insurance eligibility and benefits for all office visits and surgical procedures.
  • Obtain pre-certifications and authorizations required for diagnostic imaging and surgeries.
  • Communicate effectively with insurance companies and document all interactions.
4. Out-of-Network & Cost Estimates
  • Create detailed cost plans for patients who are out-of-network or self-pay.
  • Provide clear, itemized estimates for office visits, procedures, and surgeries.
  • Discuss financial obligations with patients and answer related questions.
5. Surgery Center Liaison
  • Serve as the primary point of contact between the orthopedic surgeon and affiliated surgery centers.
  • Ensure all surgical documentation is submitted on time (e.g., H\&Ps, op notes, clearance forms).
  • Track cases and follow up on outstanding paperwork or special requests.
6. Patient Communication & Support
  • Handle all incoming patient inquiries via phone, email, and patient portals with empathy and professionalism.
  • Provide pre-operative and post-operative instructions, collect and send patient forms.
  • Coordinate timely responses to urgent patient needs and triage appropriately.
7. Document Management
  • Keep all licenses, certifications, CVs, and required documentation for the surgeon up to date.
  • Ensure compliance with HIPAA, OSHA, and internal documentation policies.
  • Maintain digital and paper records in a secure, organized fashion.
8. Administrative Support
  • Assist with forms completion (e.g., disability, FMLA), medical records requests, and billing queries.
  • Support marketing, referral tracking, and business development efforts as needed.
  • Perform other duties as directed to enhance efficiency of the practice.
Qualifications:

  • Proven experience in medical office administration, preferably in orthopedics or surgical specialties.
  • Strong knowledge of medical terminology, CPT/ICD coding, and insurance processes.
  • Proficiency with EMR systems (e.g., Epic, MOD MED).
  • Excellent communication, multitasking, and customer service skills.
  • Ability to handle confidential information with discretion.
